How to Effectively Manage Committee Volunteers

During a recent certification webinar on Golf Tournament Planning, I discovered that many of the strategies discussed are highly relevant for anyone overseeing a team of volunteers. Whether managing a fundraising event, leading a Board of Directors, or coordinating a professional conference, these principles offer valuable guidance for maintaining an organized, efficient, and motivated volunteer team. Below are several key insights that particularly stood out to me:


1. Create a Timeline with Clear Benchmarks

One of the key points emphasized during the webinar was the importance of establishing a detailed timeline with clearly defined milestones or benchmarks. When managing an event with volunteers, it’s easy for tasks to fall through the cracks or become overwhelming without a structured plan in place.

A well-organized timeline breaks down the entire process into smaller, more manageable tasks, each with its own deadline. This approach not only enhances efficiency but also ensures that everyone remains aligned and on track. By providing volunteers with a clear understanding of what needs to be done and when, a sense of purpose is fostered.

For instance, if you're leading a board through a rebranding process, you could set benchmarks like:

  • Month 1: Develop a new mission and values statement.

  • Month 2: Hire a graphic designer to redesign the logo.

  • Month 3: Finalize the new logo and brand guide.

By establishing specific deadlines, it becomes much easier to track progress and hold team members accountable for meeting their objectives.

2. Clear Communication is Key

Simply assigning tasks is not enough—it's essential that volunteers understand not only when a task is due but also what specifically needs to be accomplished. Clear instructions help prevent misunderstandings and ensure that everyone is working toward the same goal, whether through emails, group messages, or team meetings.

The webinar highlighted the importance of maintaining clear and open communication channels, particularly when deadlines are involved. For instance, rather than simply stating, "We need to secure sponsorships," be specific with your expectations: "By next Friday, please reach out to three local businesses to discuss potential sponsorship opportunities." This provides volunteers with concrete, actionable steps, making it easier to track their progress.

Additionally, it's crucial to check in regularly. Volunteer management is an ongoing process, not a one-time task. Consistent communication and follow-up are key to ensuring that everyone stays on track and meets their responsibilities.

3. Act as the Project Manager 

As a project manager, your role is pivotal, particularly when working with volunteers who may not have a full-time commitment to the committee but still have critical tasks to carry out. Your primary responsibility, like any project manager, is ensuring that everyone completes their tasks on time. You should be prepared to troubleshoot, provide support, or help maintain momentum when someone falls behind. Proactively guiding or nudging team members to stay on track is essential to the success of the project.

A key aspect of this role is balancing a strategic, big-picture perspective with a keen attention to detail. You need to stay informed about what each volunteer is working on, where they are in the process, and identify any potential challenges that could be causing delays. For instance, if a volunteer is having difficulty securing an auction item, it may be necessary to step in, offer advice, or delegate the task to another team member who can help move things forward.

As the "project manager" of an event, you are the central force that keeps everything running smoothly. Your ability to coordinate with volunteers, monitor progress, and ensure that deadlines are met is critical to the overall success of your mission.

4. Use AI as a Tool

AI can be a great resource for creating timelines, searching for venues, and organizing tasks. Everyone knows we all have much more to do, and time is a precious commodity. Using an AI search tool can save you time.  

When creating a timeline, put in all the parameters you need to consider. List the task, the time you must complete it, and any other details. A tool such as ChatGPT will produce a timeline with instructions. You can then enhance, delete, or edit items as needed.  

To search for venues, list the parameters of your event. For instance, if you are planning an annual meeting of stakeholders with an average attendance of 150 people, at least 60 attendees will want to golf, somewhere warm in October. The venue should be within 30 minutes of the airport and have a budget of $40,000. Put those details into an AI search. ChatGPT can produce a list of locations that meet your needs, potentially revealing venues you might not have considered.  

While AI will save you time, you will still need to invest the human effort to ensure the information is accurate and meets your requirements. AI should be utilized as a tool, not as a crutch to do your work. 

 

Effective volunteer management requires organization, clear communication, and strong leadership. By setting clear timelines and expectations, you ensure tasks are completed on time and volunteers stay engaged. While AI tools can assist with tasks like scheduling, the success of volunteer-driven projects ultimately depends on your leadership and ability to manage relationships. With the right strategies, you can build a motivated, efficient team that achieves its goals.
